This Privacy Policy explains how Auction Eagle collects, uses and protects your personal data when you use our website at auctioneagle.co.uk (the “Service”). We are committed to protecting your privacy and handling your data in line with UK data-protection law, including the UK GDPR and the Data Protection Act 2018.
1. Who we are
Auction Eagle is operated by SmoothByte IT (“we”, “us” or “our”), which is the data controller responsible for your personal data. If you have any questions about this policy or how we handle your data, contact us at hello@auctioneagle.co.uk.
2. The personal data we collect
- Account data — your name, email address and password (stored securely and encrypted) when you create an account.
- Auction-house data — if you register or claim an auction house, the business contact details you provide (house name, email, phone, website and address).
- Preferences — the auctions, lots and houses you favourite, the regions you follow, and your email / newsletter preferences and consent records.
- Usage & technical data — how you use the Service (pages viewed, searches, clicks), collected by our own first-party analytics, plus technical information such as your IP address, browser type and device, and referral source.
- Communications — any messages you send us (e.g. an auction-house claim or a support enquiry).
We do not knowingly collect special-category (sensitive) personal data, and we do not collect payment-card details — any bidding or payment takes place on the auction house’s own platform, not on Auction Eagle.
3. How we collect it
We collect personal data directly from you (when you register, set preferences, or contact us), and automatically as you use the Service (through cookies and our first-party analytics). Auction listings themselves are sourced from participating auction houses and public feeds; these describe lots, not you.
4. How we use your data, and our lawful bases
- To provide the Service (create and manage your account, show your favourites and preferences) — on the basis of performing our contract with you.
- To send service messages (email confirmation, auction reminders and new-listing alerts for houses and lots you have chosen to follow) — on the basis of our legitimate interests and your requests.
- To send you our newsletter or marketing — only where you have given consent, which you can withdraw at any time.
- To keep the Service secure and working, and to understand and improve it (analytics, preventing abuse) — on the basis of our legitimate interests.
- To comply with our legal obligations — where required by law.
5. Email and marketing
Service emails (such as email confirmation and reminders for items you follow) are part of using an account. Marketing emails, such as our newsletter, are sent only with your consent. Every marketing email includes a one-click unsubscribe link, and you can manage all of your email preferences at any time from your account settings.
6. Cookies and analytics
We use essential cookies to keep you signed in and to make the Service work, and first-party analytics to understand how the Service is used. Some auction-house pages may include that auction house’s own analytics or advertising tags (for example Google Analytics or a Meta pixel) so they can measure the traffic we send them. You can control cookies through your browser settings; blocking essential cookies may stop parts of the Service from working.
7. Who we share your data with
We do not sell your personal data. We share it only with trusted service providers who process it on our behalf and under contract, including:
- our email delivery provider (Brevo), to send account and (where consented) marketing emails;
- our website hosting and infrastructure providers (including our server host and Cloudflare, which provides DNS and security services);
We may also disclose data where required by law, or to protect our rights, users or the Service. When you click through to a bidding platform such as BidSpirit, that is a separate service with its own privacy policy, and we do not pass your account data to it.
8. International transfers
Some of our providers may process data outside the UK. Where they do, we rely on appropriate safeguards recognised under UK data-protection law (such as UK adequacy regulations or the International Data Transfer Agreement / Addendum) to keep your data protected.
9. How long we keep your data
We keep your account data for as long as your account is active. If you close your account or ask us to delete your data, we will delete or anonymise it, except where we need to keep certain information to meet a legal obligation or to resolve disputes. Analytics data is retained only as long as needed for the purposes above.
10. Security
We take appropriate technical and organisational measures to protect your personal data, including encryption of passwords and secure connections (HTTPS). No method of transmission or storage is completely secure, but we work to protect your data and to respond promptly to any issues.
11. Your rights
Under UK data-protection law you have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data (the “right to be forgotten”);
- ask us to restrict or object to our processing;
- request a copy of your data in a portable format;
- withdraw consent at any time (where we rely on consent); and
- complain to the regulator.

12. Complaints
If you are unhappy with how we have handled your personal data, please contact us first so we can try to put it right. You also have the right to complain to the UK’s Information Commissioner’s Office (ICO) at ico.org.uk.
13. Children
The Service is intended for people aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
14. Changes to this policy
We may update this Privacy Policy from time to time. The “last updated” date above shows when it was last changed. Where changes are significant, we will take reasonable steps to bring them to your attention.
